As part of our busy Faculty work the successful candidate will work closely to administrative, executive and academic colleagues across a range of educational, research, governance and administrative function
We are looking for a highly motivated individual for the role of Faculty Administrator. The successful candidate will provide administrative support to a range of colleagues, teams, and functions .In order to provide effective and efficient services it is expected that the successful candidate be flexible in terms of hours of work.
The Quality Enhancement Office (QEO)
The role of the Quality Enhancement Office (QEO) is to support the implementation of the RCSI quality assurance/improvement strategy by coordinating activities and collecting the data needed to allow us to continually assure and develop the quality of all aspects of programme delivery.
The main activities of the QEO are: Coordination of institutional reviews by QQI and internal quality reviews; Collection of data through regular and bespoke surveys; Bespoke internal and external quality assurance audits; External consultancy work.
This role will assist with:
Quality Reviews
  • Assisting in the preparation and circulation of review documentation; proofing review documentation and supporting the design process.
  • Supporting quality review processes including:
o Managing review documentation
o Preparing presentations
o Planning and Coordinating site-visit schedules, room bookings etc.
o Securing relevant stakeholders for review process engagement
o Liaising with Review Group members
o Managing travel and accommodation requirements
o Processing expenses and payments
  • Coordinating activities during site-visits to ensure an excellent and efficient service is provided to all participants
General
  • Establishing effective working relationships with key stakeholders internally and externally to ensure full buy-in and implementation of quality initiatives
  • Preparing such reports and other services related to the position as required from time to time
  • Liaising with other departments at RCSI
  • Scheduling, attending and keeping records and minutes of meetings as required
  • Creating and maintaining filing systems
  • Review and update of documentation
  • Processing expense requests in a timely manner
  • Developing strong working relationships with internal stakeholders
  • Being flexible and responsive to colleagues and stakeholders
  • Complying with statutory legislation and department rules and requirements in furtherance of your own and general staff welfare and safety
  • Undergoing programmes of training and development as may be required from time to time
  • Representing the best interests of RCSI and the QEO Office at all times
  • General administrative duties
  • Performing other duties as may be required
Knowledge & Experience:
The successful candidate will ideally possess and demonstrate the following:
  • Strong organisational and administrative skills
  • Strong IT skills and ability to rapidly upskill on IT systems
  • Proficiency in computer skills including MS Office Suite
  • The ability to focus on and produce results and prioritise objectives.
  • An ability to multi-task effectively
  • Ability to seek and find ways to enhance processes and procedures
  • Strong attention to detail
  • Excellent written and spoken English
  • Strong interpersonal and influencing skills
  • The capacity to work independently and yet seek input to make decisions and meet deadlines
  • The ability to work on one’s own initiative as well as in a team environment
  • Willingness to work flexibly with and responsively to colleagues and tasks
  • Experience and a proven track record in a similar role would be an advantage
